Paperwork eats your whole week.

Intake forms, visit notes and caregiver files get retyped and chased by hand. We build the systems that fill open shifts, move applicants along and cut the paperwork, so your coordinators stay with clients and caregivers.

Example: a visit note is still open

Where home care agencies lose time.

A caregiver holding hands with a smiling older woman in a care home

Paperwork eating the week

Intake forms, visit notes and caregiver files get printed, filled out, retyped and chased by hand. Coordinators spend the day on paper instead of people.

Caregiver files that expire

Certifications, health screenings and training renewals all come due on different dates. Someone tracks them in a spreadsheet and chases each caregiver one by one.

Billing held up by missing notes

For Medicaid-billed visits, a visit without a clean EVV check-in and note can’t be billed. Every missing one holds up the claim and payroll.

Open shifts filled by hand

A caregiver calls out and a coordinator works down a list one person at a time while the visit gets closer.

Caregiver applicants waiting

Good applicants wait days for the next step, and many take another job first.

Family inquiries waiting

A daughter fills out your website form at 8 PM about her mother. If nobody writes back until morning, she has already messaged two other agencies.

Meet your paperwork chaser.

It finds what’s missing, asks the right person for it and files it where it belongs. Nobody retypes a thing. An example of one new client’s intake. Your forms, your state’s rules and your coordinators decide every step.

  1. Family says yesAfter the consultation, the family gets one online intake form instead of a paper packet.
  2. Partly filledThe system sees what is still blank and sends a reminder for only those parts.
  3. All inThe completed forms file to the client record, ready for your coordinator. Nobody retypes a thing.
  4. Coordinator reviewsYour coordinator checks the file and builds the care plan. People make every care decision.

What slow replies and paperwork cost your agency this year.

Set it to match your business. Nothing is saved or sent. Sales and hours are counted separately.

How we calculate this

Sales at risk = leads a month × your close share × average value × 12 months × the share lost at your reply speed (0%, 30%, 55% or 70%, our planning assumptions). Busywork = 60% of your weekly hours at $35 an hour for 50 weeks. These are estimates, not promises.

Jay Awal, Founder and Systems Architect

Built by an owner, for owners.

Jay Awal has been the owner doing everything by hand at midnight. He started DispatchCo to build owner-run businesses the same kinds of systems his own businesses run on.

  • We run on it first. Jay's own businesses run on DM replies, follow-up and content systems like the ones on this page.
  • We teach it. 30+ stages, plus an AI build cohort for owners.
  • We show up. Every build starts hands-on with our team.

What we usually build first.

Intake and visit paperwork

Forms filled out online and filed to the client record, with no retyping.

Caregiver file tracking

Expiring certifications and missing documents trigger a reminder to the caregiver, and your team sees what is current.

Open shift fill

A call-out sends text offers to qualified caregivers, and your coordinator approves the match.

Applicant and inquiry follow-up

Applicants and family web inquiries get their next step quickly, so they don’t go somewhere else.

Agencies run tools like AxisCare, WellSky or AlayaCare. We check what you have and how it connects before we quote.

Who owns each job, before and after.

Your coordinators stay with clients and caregivers. The chasing and the paper move on their own.

The rules we build around.

Client and caregiver records

Health information needs vendors who will sign a business associate agreement. We confirm that tool by tool.

People make the decisions

Your coordinators approve every match and every hire. The system moves messages and paperwork, and it never decides who is fit to give care.

Your state has the last word

Rules for records, visit verification (EVV) and caregiver files change by state and payer, so we confirm what applies before anything goes live.

Plan it. Build it. Teach it. Pick one or all three.

Every system comes with training for the people who run it.

Blueprint

Know what to build first and what it's worth.

For owners who want to know where AI pays off first.

  • Maps your inquiries, scheduling and caregiver handoffs
  • Your AI org chart: your team plus the agents beside them
  • A ranked plan with the dollar value of each fix

Credited toward your Deployment

Deployment

Your first system running in 30 days.

For owners who want it built and running.

  • Playbooks written first, then automated
  • Connects inquiry response, scheduling and reminders to your agency software
  • Your team trained to run it without you

Workshop

Your team builds its own agents on real work.

For teams that need to use AI every day.

  • In person, at your office
  • Your coordinators learn it on real shifts and inquiries
  • Scored before and again at 60 days

Day 30

We build it with your team

Biggest blind spot first, with your people trained to run it. The next system follows by day 90.

We don't start strong and disappear.

  • Every build starts hands-on with our team. We build alongside your people from week 1 to launch.
  • You hear from us every week. A 30-minute check-in for the length of the build.
  • You see the number. We time the jobs in week 1, both sign it, and time them again at day 90.
  • You keep everything. Every system, login and document stays yours. Stop anytime.

10 hours a week back by day 90, or we build one more system free.

For Deployment clients. The extra system is no bigger than the smallest one in your Deployment, and it's delivered within 30 days.

  • How we measure itIn week 1 we time the jobs we're automating with you, and we both sign that number. At day 90 we time them again the same way.
  • Your partThe week-1 timing, fast access and approvals, the weekly check-in, and running the work through the systems. Full terms are in the FAQ.

What a good week looks like by day 90.

The office gets its week back

Time moves from retyping forms to supporting caregivers and families.

Files stay current

Expiring caregiver documents get flagged and chased before they lapse.

Call-outs stop eating mornings

Open shifts go out to qualified caregivers by text, and your coordinator approves the match.

Questions owners ask.

Have you built this for a care agency?

Our published build is Caregiving Solutions, an Arizona agency that recruits and licenses caregivers. We moved their forms online and built a back end that sends each next step on its own. The inquiry and scheduling systems on this page use the same approach.

Does it work with our scheduling software?

It depends on what your software allows. Many agency platforms connect through an API or an integration tool. We check yours before we quote, and if something cannot connect, we tell you.

Will families know they are talking to AI?

Yes. The assistant says it is an AI when asked, and anything about care, health or billing goes to your team.

Can it handle caregiver recruiting too?

Yes. Applicant follow-up is the same pattern we built for Caregiving Solutions, where each approval sends the next step on its own. Agencies that also license caregivers can see that build on our caregiver licensing page.

What about HIPAA?

Client health information needs vendors who will sign a business associate agreement. We confirm that tool by tool and keep health details out of any tool that will not sign one.

I've been burned by a vendor before. Why is this different?

Every build starts hands-on with our team, and you get a 30-minute check-in every week for the length of the build. Everything is built in your own accounts. We time the jobs in week 1 and again at day 90, so you see the result in hours, and you can stop anytime and keep what's built.

What does it cost?

It depends on what we build, so we scope it from your Blind Spot Audit and a call. A 6-person shop and a 60-person company need different things. You see the full scope and price before any work starts.

Will my team actually use it?

We build it inside the software they already log into, write the playbooks with them and train them on their own real work. People use what they helped shape.

How much of my time does this take?

About 30 minutes a week to approve things and tell us what's off. You know your business, we know the build.

Am I locked in?

No. Blueprint, Deployment and Workshop are separate decisions. Stop after any of them and keep everything we made.

How does the 10-hour guarantee work?

It comes with every Deployment. In week 1 we time the jobs we're automating with you and we both sign that number. At day 90 we time them again the same way. If your team isn't saving 10 hours a week, we build one more system free, no bigger than the smallest one in your Deployment, within 30 days. It applies when you've done your part: the week-1 timing, access within 5 business days, the weekly check-in, playbook approvals within 3 business days, and running the work through the systems.

See what to take off your plate first. It takes 3 minutes.
